ID Verification for Elderly Clients
If the client has a valid form of Photo ID then we can conduct either an electronic or in-person check as standard.

If the client is unable to attend our offices then an electronic check can be conducted with the assistance of a trusted family member, friend or carer. The check can be sent to any mobile number
If the client has no valid photo ID or lacks the capacity to complete the electronic check we will need to obtain some additional information.
Out-of-Date Photo ID or Other Photographic ID
If the client has an expired passport, an out-of-date driving licence, or another form of photographic ID (e.g. an old government-issued document or a recognised ID card), we can still use this as a starting point.
This ID must be certified by a suitably qualified individual, such as a care home manager, GP, or bank manager, confirming that the copy is a true likeness and a true copy of the original.
Letter Confirming Identity and Residence
We also require a letter from an appropriate authority (e.g., the care home
manager, GP, or a similar regulated professional) confirming your identity, stating that the certified ID presented relates to you, and confirming your current residence or evidence in a care home or hospice.
This letter must be an original (not a copy), and we will contact the issuer to verify its authenticity.
Proof of Address
Ideally, provide two forms of address ID (e.g., official letters addressed to you at home or at a care home) if available.
If two forms of conventional address ID are not possible, the letter from the care home or hospice itself, confirming that you live there and have done so since a certain date, will be accepted as evidence of your address.

[He/She/They] has been residing at this care home since [date of admission]. As part of our standard admission procedures, we verify each resident’s identity and maintain up-to-date records of their personal details.
Based on our records:
The resident’s current address is [insert care home address here].
We have sufficient details on file confirming their identity, and these align with the documentation they provided upon admission.
I can confirm that the accompanying certified copy of the [ID or birth certificate] corresponds with the information in our records and appears to relate to the aforementioned resident.
Should you require further information or wish to verify the authenticity of this letter, I can be contacted directly at [care home telephone number] or via email at [care home email address].
